How Proration Rules Apply: Staff and Community Hub sites

This overview demonstrates how proration rules function from both the staff and member (Community Hub) perspectives:

Proration functionality is only applicable for the Annual membership Renewal Types.

Let’s consider below setup to look into the Proration behavior:

  • Renewal Type: Annual

  • Term: 12 Months

  • Annual Start Month: January

  • Start Date Control: 15

Typically this means the membership cycle will start in the month of January, span across 12 months, and end in the month of December. And lets say the amount to purchase this membership is $ 1599 for 12 months.

StartDateControlForAnnualProratedMembers CMT determines if Start Date Control on Membership Type should be considered or not.

If this tag is Enabled, then the Memberships Start Date is determined by the current date (system’s date) and the Start Date Control Date on the Membership Type.

If this tag is Disabled, then the Membership Start Date will always be 1st of the current date’s (system’s date) month.

Proration Scenario with the purchase date below the Start Date Control Date cut-off

StartDateControlForAnnualProratedMembers is Enabled.

Case 1: Community Hub

Members can see prorated charges during self-service actions such as joining through the Community Hub. The system automatically calculates and displays the adjusted amount based on the current term and proration rules.

If a member joins on April 10, 2025 then the Membership term will 4/1/2025 - 12/31/2015 and the prorated amount for 9 months will be applied instead of the full-year price.

Case 1: Staff View

Similar behavior can also be seen on the Association Staff View side when placing an Order through the Order Processor

Expected Result:

The system calculates dues based on the prorated term of the year (April to December), rather than charging for the full year. While the full-term amount is $1,599, the prorated amount for 9 months, calculated according to the proration rule, comes to $1,119.30.

If StartDateControlForAnnualProratedMembers is disabled, the Start Date and End Date in the above scenarios would default to the same values as above — i.e., 04/01/2025 to 12/31/2025

Proration Scenario with the purchase date after the Start Date Control Date cut-off

Case 1: Community Hub

If a member joins on April 20, 2025 then the Membership term will 5/1/2025 - 12/31/2015 and the prorated amount for 8 months will be applied instead of the full-year price.

Case 2: Staff View

Similar behavior can also be seen on the Association Staff View side when placing an Order through the Order Processor

Expected Result:

The system calculates dues based on the remaining term of the year (April to December), rather than charging for the full year. While the full-term amount is $1,599, the prorated amount, calculated according to the proration rule, comes to $959.40.

If StartDateControlForAnnualProratedMembers is disabled, the Start Date and End Date in the above scenarios would be 04/01/2025 – 12/31/2025, since the membership start date is always set to the 1st of the current system date's month.

Handling Prorated Charges with Advanced Term Enabled

You can also set proration rule items to charge more than 100% so they pay for the remainder of the current term as well as the full amount for the next term.

For example, the proration percentage for the month of November can 107% of the amount of membership dues, which covers the remaining 7% of the current term as well as the full cost for a membership for the following year.

In the month of November, if the member is purchasing the Annual membership that has Start Date in January, then

  • It includes the period from November 1st, 2025, to December 31st, 2025, in the current membership term (as a prorated amount).

  • It also charges in advance for the full next membership term starting January 1, 2026.

As a result, rather than applying the full annual fee of ₹1,599.00 solely for the current term, the system calculates a combined charge that includes a prorated fee for the 1st of November to 31st of December, 2025 along with the full fee for the upcoming membership term.
